Hello! This is a Privacy Notice and it’s designed to tell you about what we do with your personal data when you sign up to be on our Youth Board.
There are data protection laws governing our use of information that identifies you (known as your “personal data”) and we have to give you this notice so you know what’s happening with your personal data.
Under data protection law, we are referred to as a “controller” of personal data. You can find our full corporate details at the end of this notice.

Types of personal information we process about you:
We keep hold of your Club profile information from when you were a Saturday Club Member for 6 years from the date you finished the programme with us. In addition to this information that we hold about you, for your application to our Youth Board we also ask you for:
- Details of your experience with the Saturday Club;
- Your Youth Board application submission;
We will:
- Keep records of your activity and ideas on our Youth Board.
What do we use your personal data for?
We use your personal data with your best interests in mind when you want to be part of the Youth Board. This is known as under your ‘legitimate interests’ under the law. We use your personal data to:
- Assess your application for the Youth Board;
- Administer and communicate with you about the Youth Board;
- With your consent, promote and share your Youth Board work on our website, social media channels and annual review;
- For monitoring and reporting in an anonymised format about the diversity of the Youth Board;
- To ensure the Saturday Club Trust Youth Board is accessible to you.
How we share your data
In some circumstances we may need to share your data under certain laws. This includes:
- If you’re unwell and sharing information about you might help you or save your life;
- If we have a legal obligation to share your data, such as sharing information with the police or a court (though this is quite unlikely);
- Any business that provides services to us, enabling us to run the charity (for example Microsoft).
Storage and Retention
- Technical and organisational measures are put in place to secure your information, including storing data on encrypted systems and providing limited access to data.
- We will hold your data for as long as is necessary for the Youth Board. Most of your personal data will be deleted 6 years after you have left your post, however we may retain some information permanently (such as your name and role) for our Charity records.
Your rights
The Data Protection Act 2018 provides you with certain rights. You can make a request freely under any of these rights by using the contact details at the top of the page. Please note that not all rights will be automatic, as in some cases there are exceptions in the law.
We will aim to respond to your request within 1 month, and if the case is complex, no later than 2 months.
